Position Overview

Serves as a staff assistant to the Upstate Facilities Manager. Independently receives and responds to non-technical inquiries on department related issues, policies, and procedures. Assists superior in coordination of voice, wireless and video communication systems and services requests for upstate locations and staff. Assists with special projects pertaining to upstate locations. Serves as administrator in Cook County for the Vehicle Fleet Program. Attends and participates in staff meetings. Assists with furniture and office moves, as well as equipment maintenance.

Essential Functions

  • Serves as a staff assistant to the Upstate Facilities Manager. 
  • Independently receives and responds to non-technical inquiries on department related issues, policies and procedures from various departmental staff members, licensees and/or their representatives, etc.
  • Assists superior in coordination of voice, wireless and video communication systems and services requests for upstate locations and staff. 
  • Assists with special projects pertaining to upstate locations. 
  • Serves as administrator in Cook County for the Vehicle Fleet Program. Travels in the performance of duties.
  • Attends and participates in staff meetings. 
  • Assists with furniture and office moves, as well as equipment maintenance.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration. 
  • Requires one year of professional experience in a public or private organization, or completion of an agency approved professional management-training program.

Preferred Qualifications

  • Prefers at least three years of experience working as an administrative assistant, secretary, office manager, or similar. 
  • Prefers at least three years of experience facilitating and coordinating the movements or new installation of telecom devices. 
  • Prefers at least three years of office experience utilizing Microsoft Word, Excel, and Outlook. 

     

Conditions of Employment

  • Requires possession of a valid, appropriate driver’s license and the ability to travel in the performance of duties.
  • Requires completion of a background check and self-disclosure of criminal history.
  • Physical requirements of this position are: walking and standing for prolonged periods, reaching above shoulder level; lifting and carrying boxes of supplies, materials or office equipment weighing up to 80 pounds.
